Founded in 1986, PAL Canada Foundation is the national “umbrella” organization that represents and supports seven
individual PAL chapters across the country, including Calgary, Halifax, Ottawa, Stratford, Toronto, Vancouver, and
Winnipeg.
As we continue to expand and grow, we are looking for a Part-Time Executive Administrative Assistant to join our team.
Job Description:
PAL Canada Foundation seeks a Part-Time Executive Administrative Assistant to provide administrative and operational
support to our organization. The successful candidate will be responsible for general office management, general and
board minutes filing, light bookkeeping, membership processing and correspondence, social media management, and
will serve as a gatekeeper for calls and emails to our Executive Director. This role is crucial to maintaining the efficiency
and professionalism of our organization.
Key Responsibilities:
General Office Management:
• Payroll Function—send for approval to Treasurer and VP .
• Process Mail and cheque requests; re-distribute as needed.
• Bookkeeping duties, as assigned.
• Assist with the organization of meetings and events.
• Manage office supplies and inventory.
• Ensure the office is well-organized and presentable.
Social Media Management:
• Create and schedule social media posts on various platforms. (Facebook, Twitter, LinkedIn, Instagram)
• Engage with our community and respond to inquiries.
• Track and report on social media analytics.
Membership Processing:
• Process membership applications, renewals, and process payments.
• Invoice and collect Chapter Dues.
• Maintain an accurate and up-to-date membership database.
• Prepare and send membership communications.Grants and Proposals:
• Maintain Fund Development Schedule.
• Assist with preparation of documentation for reporting.
• Work with Board fund development volunteer to ensure that reporting and metrics requirements are being met.
• Maintain current Board roster-with contact information and professional affiliations.
Gatekeeper for Executive Director:
• Screen and prioritize calls and emails for the Executive Director.
• Liaise with external parties on behalf of the Executive Director as needed.
• Maintain confidentiality of all sensitive member, board, donor, and staff information.
Administrative Support:
• Assist with the preparation of reports, presentations, and documents.
• Coordinate and schedule meetings, including managing calendars.
• Attend all board and executive committee meetings.
• Transcribe meeting transcripts for dissemination to board and executive committee.
• Handle travel arrangements as necessary.
Qualifications:
• College degree, or relevant certification preferred. Graduating Seniors majoring/minoring in Non-Profit
Management from an accredited University are encouraged to apply.
• Demonstrated experience in an administrative or executive assistant role.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
• Knowledge of MailChimp email tool.
• Strong working knowledge of QuickBooks.
• Excellent language/communication skills, both written and verbal; Fluency in French, a plus.
• Strong organizational and time management skills.
• Ability to handle sensitive information with discretion and confidentiality.
• Experience in social media management.
• Familiarity with the entertainment industry is welcome, but not required.
Working Hours:
This is a part-time position with flexible working hours, approximately 20-25 hours per week. Some tasks may be
performed remotely, but on-site presence may be required for specific duties as determined by the ED. Some evenings
are required to support our Senior Virtual Events and Classes. Additional support may be required for event-driven
fundraisers.
